MPS goes beyond software and services.

The quality of consumables within any MPS program is vital to good printer fleet management. The vast majority of customers and dealers care more about cartridge quality when it comes to transactional business, but not so much with MPS programs. Why is this…?

MPS is the best tool for achieving efficiency in managing a printer fleet, but more importantly, it is another way to put toner on a page, and that toner must be of high quality.
MPS is sold to the IT manager or CIO as a service that will reduce workloads, control costs and optimize fleets, where the quality of consumables is not in dispute.
However, the MPS program is implemented without consideration of how it will affect the user experience, who is only looking for trouble-free printing. Poor consumable quality leads to low satisfaction and triggers internal complaints to the helpdesk.

As a result, we have the IT manager liking the MPS concept but not the dissatisfied users, leaving him with two options: go back to transactional purchasing or, if the problem is with one type of consumable, switch to using OEM consumables in the MPS solution.
On the other hand, the distributor’s own profitability is also at stake. When everything is integrated into an MPS program, users go to the supplier at the slightest hint of a problem. Poor consumables quality will increase a reseller’s support costs.

So quality should not be overlooked in the printing industry: there will always be another MPS supplier with the same monitoring software and similar conditions; there will always be someone cheaper and it is impossible to build loyalty through price.
In addition, quality will drive customer loyalty, whether in transactional sales or in an MPS program. In the case of printing consumables, 70% of users buy monochrome cartridges based on quality, not price (90% for color).

In short, consumable manufacturers and suppliers have a responsibility to stand up for quality, which will increase sales, regardless of whether they sell software, consumables and services on demand or in an MPS program.

Nubeprint has just presented NubAI in LatAm and Spain, with great reception and attendance success, with the presence of leading wholesalers, manufacturers and distributors in the printing sector.

Nubeprint has never been satisfied with just putting in the hands of its customers the best monitoring tool that allows them to remotely manage the needs of printers and copiers. It also dedicates an important effort to create knowledge within the service provider.

To this end, in 2016 Nubeprint implemented an AI engine capable of optimizing cost-per-copy contracts. Nubeprint’s Shipping Forecast app is more reliable than an ERP sales forecast.

We measure more and more: the temperature outside, the temperature at home, the steps we walk, the “likes” on our profile? We measure out of necessity, to feel comfortable or out of curiosity. But using one or another formula to measure the same concept can have dramatic consequences, as the printing and MPS industry has seen during the pandemic. Do you think that a sales forecast based on ERP data is the same as one based on information from Nubeprint?

In cost-per-copy MPS (Managed Print Services) contracts, the performance of the contracts is directly dependent on the performance of the inputs. As with transport vehicles, when one of the consumables runs out, the printer stops working.

But cartridge yield exists whether the printer is on an MPS contract, is owned, or the distributor merely sells cartridges. To meet all the customer’s needs, there are only two ways: to have a huge stock or to know them in advance.

The former is economically unfeasible. This is why distributors have been using forecasts based on their historical sales to estimate their future sales, which is provided by any ERP.

During the pandemic, many customers went out of business and, in just 24 hours, the distributor found not only that its turnover plummeted, but also that its warehouses were full of cartridges that no one was going to order for months. And even worse, when in the following months he asked his ERP for volume forecasts to manage his warehouse and his purchases, the ERP indicated quantities of cartridges that he was obviously not going to be able to sell in the short term.

One year after the pandemic, the ERP has continued to give erroneous purchasing forecasts. This time, because its calculation was affected by the exceptional drop in sales in the previous period. As the printer fleet also changed abruptly (A3 printers “disappeared” from demand), these forecasts based on increasing cartridge sales for A3 models failed to adapt to the new reality.

Could this have been avoided? Of course, the pandemic-related shutdown was unforeseeable. But once it happened, many distributors were able to mitigate the adverse effect by basing their purchasing forecasts on the short-term needs of their customers measured in real time.

When a reseller uses Nubeprint, the “Shipping Forecast” app tells them, up to 90 days in advance, which cartridges and how many of each cartridge they will need to serve to each of their customers to keep the printers they actually have up and running. So, during the pandemic, stocks were conveniently sized to meet an actual demand for a period of typically 15 to 30 days, with a much tighter stock.

But, once the shutdown occurs, the new forecast provided month after month by Nubeprint’s “Shipping Forecast” app immediately reflects the plummeting consumption, as well as the change in fleet type where A3 models give way to A4. The distributor using Nubeprint has therefore managed the economic consequences of the pandemic much better, with optimized initial stock and much faster demand adjustment.

Nubeprint monitors in real time to identify when each input for each machine in question is going to run out, so that the distributor can buy knowing with a high degree of certainty what, when and to whom it will sell each cartridge.

Big Data overwhelms managers in decision making.

Business leaders are aware of the importance of data and know that good data analysis is critical to the success of their business. However, they feel that they do not have all the necessary tools to achieve this, which affects their confidence and ability to make decisions. Is it better to leave them in the hands of AI…?

A study by Oracle concludes that up to 70% of business leaders globally would prefer AI to choose instead, a study in which more than 14,000 employees and business leaders from 17 countries participated.
Eighty percent of leaders believe that the number of decisions they make each day has increased 10-fold in recent years and, when they must decide, 75% are overwhelmed by the sheer amount of data and different sources, admitting that more than once a day they don’t know what to do.
The study demonstrates the lack of confidence generated by much of this data. Thirty percent have doubts about the reliability of the data and 70% have given up making any decision due to the enormous amount of data to be verified.

80% of those surveyed consider that this inability to make decisions causes anxiety and affects their quality of life, in addition to the loss of opportunities.
Faced with the avalanche of data, it has been detected that 40% only consult sources they trust and 27% go by their intuition. Data must therefore help in the decision-making process or it will no longer be taken into account.

On the other hand, 80% of respondents believe that people often make a decision first and justify it with data after the fact. In addition, corporations often prioritize the opinion of the most senior person over data, and as many as 15% feel that most decisions made in their company are irrational.
Finally, the study concludes that an organization that turns to technology to make decisions based on Big Data and AI is more reliable (87%) and will be more successful (90%). It will also be more likely to obtain investment (85%) and will be more attractive when it comes to attracting talent (90%).

AI, big data and sensorization are all part of the equation in an ecosystem that is changing everything. From managing a factory’s packaging plant, to advising a gift store on what products it should buy to cater for Black Friday sales. Sensorization is about having sensors collecting data at all stages of a production process. But the data often needs to be filtered and polished, and once the veracity and accuracy of the data is guaranteed, it is ready to be used by generative AI. That complex task is what Nubeprint has been devoting its efforts to when in 2017 it introduced its Machine Learning engine.

All managers spend a lot of free time thinking about how to improve the business: first you must know it, and to know it, you must measure it: measure the time of a process, the time it takes to get paid, the cost of delivering one box versus delivering several… and so on up to hundreds of measurements.

Any management tool worth its salt incorporates hundreds of ratios that are the result of measurements, and companies are measuring more and more. It is essential to measure in order to know the situation and set objectives and strategies to achieve them. Who has not heard of KPIs (management indicators)?

Measuring has long since ceased to be an obstacle. We have data on everything. But at this point, what do we do with this data, and are we making the most of it? Based on what I see around me and sadly, the answer is a resounding no.

The challenge now is to interpret the data in such a way that we can draw conclusions that will help us achieve our objectives. But most organizations lack a professional team capable of interpreting and planning actions that lead to improvement.

It is often frustrating to ask a team trained to do business “as usual” to interpret data to improve their work. This is because a worker becomes particularly good at something by repeating the task rather than by having a critical spirit aimed at constantly improving it. How close to home is the saying “the devil knows best when he is old”.

And if a small or medium-sized organization does not have the human resources to take advantage of data, the long-term problem is that companies with fewer resources will lose competitiveness faster and faster to those that can hire professionals who are willing to pay them for the job if this benefits the organization as a whole. Indeed, these are employees who are more expensive to hire, but whose passage through an organization leaves a trace of cost reduction and service or product improvement.

But generative AI has arrived to provide a new opportunity for companies that do not have access to those “1st division” professionals. The Nielsen Norman Group (NN/g) study (nngroup.com/articles/ai-tools-productivity-gains) reveals the impact of AI from productivity and service excellence approaches. In the conclusions derived from a total of 3 studies in very different positions, an increase in productivity of up to 126% has been obtained, and in all cases an improvement in the quality of the product or service.

Unlike other disruptive inventions that humankind has experienced throughout history, generative AI is deployable in any organization and, guess what, it produces effects almost immediately. In two of the 3 studies conducted by NN/g, they measured the outcome after only one use of the AI tool. And the results speak for themselves: a 59% and 126% increase in productivity, respectively.
